How a Global Streaming Company Saves 99.77% of Manual Work from its Live Sports Campaigns

Author: Josue Zamora

A behind-the-scenes look at the Salesforce integration that connects marketing and production teams in real time.

Live sports do not wait for anyone. A roster changes, a schedule shifts, an athlete gets injured mid-tournament, and marketing has to moved fast. For one of the world’s largest streaming and entertainment companies, that speed was getting blocked by two systems that didn’t talk to each other.

Campaign planning lived in platform. Production lived in Salesforce. Every campaign meant retyping the same information twice because the two platforms operated independently. Campaign managers and production coordinators manually recreated campaign information, production work orders, configured asset specifications, and synchronized updates throughout the production lifecycle.

The process consumed valuable time and introduced unnecessary complexity.

Setting up a campaign took 15 minutes. The production ticket took another 19 minutes; and configuring asset packages required up to 36 minutes for more complex campaigns.  In 2025 alone, the team created 1,131 production tickets. Do that math and you’re looking at a team spending most of its week on data entry instead of marketing.

The worst part wasn’t even the volume. It was the small stuff. An athlete gets hurt, and now someone has to manually swap that player out across every asset, in every campaign, by hand. Multiply that across a full season of premier sports leagues and international tournaments, and you get a team that’s constantly playing catch-up instead of doing the work they were hired to do.

The client needed a solution that could automate these processes while allowing each team to continue working in its preferred platform without either one becoming the other’s data entry clerk

The engagement began after another internal business unit shared the results of a previous Salesforce automation initiative we delivered. That project successfully automated nearly 70% of manual work, demonstrating our ability to deliver measurable operational improvements.

When this team came to us, we weren’t starting cold. We already knew their systems, their processes, and how their teams worked day to day. That meant less time discovering the problem and more time fixing it.

That combination of proven Salesforce expertise and familiarity with the client’s business enabled the marketing operations team to realize value faster while minimizing implementation risk.

We built a two-way sync between the planning system and Salesforce. Create a campaign in one, and it shows up in the other automatically, work order, asset specs, and all. Marketing planners continue using their existing planning platform while production teams continue working in Salesforce, with both teams sharing the same current information.

Production status, work order progress, delivery links, and completion updates automatically flow back to the planning system. When campaign specifications change, updates are immediately synchronized across both platforms, eliminating duplicate work and reducing the effort required to respond to changing schedules or player roster updates.

The result is nobody has to remember to go tell the other team about changes and we’re not changing both team’s work style.

Manual effort dropped 99.77%.

Additional business benefits included:

  • Eliminated duplicate data entry.
  • Faster campaign execution and production kickoff.
  • Improved visibility across marketing and production teams.
  • Greater data accuracy through real-time synchronization.
  • Reduced manual effort when campaign details change.
  • A scalable process capable of supporting increased campaign volumes without adding headcount.

The project also demonstrated the value of expanding successful automation initiatives across multiple business units. We built on proven results and shared organizational knowledge. That helped our client deliver faster outcomes and improve cross-team collaboration. It also laid the foundation for what’s next: marketing workflow automation and AI-assisted campaign planning.

This project becomes a business justification when one team proves an automation approach works, it is worth checking whether other teams are fighting the exact same fire.
