How Sistema FIEB Brought AI to 300+ Employees with Microsoft 365 Copilot

Introduction

Sistema FIEB, the Federation of Industries of the State of Bahia, is one of the leading companies in education, innovation, and industrial development in northeastern Brazil. With 75 years of operation and headquartered in Salvador, Sistema FIEB the company includes entities such as SENAI, SESI, SENAI CIMATEC, IEL, and CIEB, representing over 1,500 industrial companies and operates through dozens of facilities across northeastern Brazil.

The rapid pace of technology made Sistema FIEB see AI as a practical advantage. They also wanted employees to use it in their daily work. To do that, they turned to us to lead Microsoft Copilot adoption.

The Challenge

Sistema FIEB already had Microsoft 365 Copilot license but was not using it to its full potential. The real challenge was not access, it was adoption and that involved behavior change at scale. Employees needed to change how they worked. The training required structure and proven methodology. Without both, adoption will stall or possibly fail.

They needed to:

Go beyond one-off or light guidance and make AI part of their daily work.

Give employees clear guidance, not only tools.

Help employees apply AI to real tasks across different roles and functions.

Why We Were Chosen

Sistema FIEB had already built the AI Champion foundation. They launched the IT Multiplier Program, selected 41 professionals from various lines of business areas, provided 75+ hours training in AI, data analysis, automation, prototyping, and governance.

They needed a strategic partner who could turn that foundation into real AI usage with Microsoft 365 Copilot.

We joined the program at its final stage: AI and automation. That mattered. The group was already engaged, trained, and ready to apply what they learned.

The Solution

We focused on getting the IT Multipliers Program participants and other employees to use AI in daily work. Everything tied back to tasks. We worked together to:

Run an 8-hour hands-on workshop with the IT Multipliers, using real-world challenges brought by the participants.

Deliver online adoption sessions to 300+ employees on generative AI, prompts, and best practices.

Lead an executive workshop for leadership, show how leaders can use Copilot in solving daily problems.

Mentor employees from line of business teams, producing 16 practical use cases.

Results

The impact showed up quickly and it stuck.

Line of business teams now use Copilot strategically and day-to-day tasks.

Multipliers became go-to AI champions within their functions, amplifying best practices and supporting colleagues in using Copilot.

16 practical use cases came out of mentoring, covering automation, reporting, and internal tools.

The program created an extended arm of IT within the business units. Today, when a manager has a new demand, they already ask: ‘Did this go through the multiplier in your area?’ They are not from IT, but they now know how to define, prototype, and refine requests. That changes the game.

Next Steps

Sistema FIEB will expand the program with a second cohort. This time, the focus shifts from learning to measurement, tracking outcomes and proving value.
